As the joint controllers of the information system, we publish the following data protection statement pursuant to Article 13 and the relevant recitals of Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter referred to as the "Regulation") and Act No. 18/2018 Coll. on the Protection of Personal Data of the National Assembly of the Slovak Republic and on amendment and supplementation of certain laws.
Purposes of Processing Personal Data
Purposes of processing personal data are the reasons for which the personal data of data subjects (employees, clients, customers, users) are processed in our information systems on specified legal grounds. The purposes are specifically identified, explicitly stated, and legitimate, and we comply with the principle of lawfulness under Articles 6 and 9 of the Regulation when processing the personal data of data subjects.
Rights of Data Subjects
- Right of access to personal data - This is the right to obtain confirmation of whether your personal data is being processed as well as the right to obtain access to this data, in the scope of the purposes and duration of processing, the category of personal data concerned, the range of recipients, the procedure of any automated processing, or the consequences of such processing.
- Right to repair of incorrect and incomplete personal data (Article 16, recital 65 of the Regulation).
- Right to erasure - "forgetting" of personal data which are no longer necessary for the purposes for which they were collected and processed; on withdrawal of the consent on the basis of which the processing is carried out; in the event of unlawful processing; where the personal data were collected in connection with an offer of information society (in the case of children), subject to the conditions set out in Article 17, recitals 65, 66 of the Regulation.
- Right to restriction of processing can be exercised if you, as a data subject, challenge the accuracy of the personal data and other particulars within the meaning of Article 18, recital 67 of the Regulation.
- Right to portability of personal data - the right to transfer the personal data provided by you to our information systems on the basis of consent or the performance of a contract to another controller in a structured, commonly used, and machine-readable format.
- Right to lodge a complaint - Without prejudice to any other administrative or judicial remedies, you have the right, as a data subject, to lodge a complaint under Article 77 of the Regulation with the Office for Personal Data Protection of the Slovak Republic if you believe that the processing of personal data concerning you is in breach of the Regulation or the Personal Data Protection Act.
Security Measures
Joint controllers AgeVolt j. s. a., Tatranské námestie 3, 058 01 Poprad and AgeVolt Slovakia s. r. o., Jarošova 1, 831 03 Bratislava as joint controllers of the information system, have taken all appropriate personal, organisational, and technical measures to protect your personal data to the greatest extent possible in order to reduce the risk of misuse, leakage, and the like.
Individual Purposes of Processing Personal Data
1. Personnel and Payroll
The purpose of processing personal data is fulfilling the employer's obligations related to the employment relationship or similar relationship, including occupational health and safety, staff development, payroll processing, and compliance with the Labour Code and other relevant laws.
2. Economic and Accounting Agenda
Processing of orders, invoices, cash management, warehouse management, and accounting of the organization as per the Accounting Act and related laws.
3. Registry Management
Administration of the registry, including proper record-keeping, disposal of files, and handling incoming and outgoing mail.
4. Client Records
Processing of personal data of clients when ordering services or goods, maintaining client information as per contractual obligations.
5. Legal Relations and Debt Recovery
Management of legal proceedings, representation in legal cases, recovery of debts from debtors, and other legal tasks as per relevant Slovak laws.
6. Public Procurement
Keeping records of natural persons participating in public procurement procedures.
7. Projects and Structural Fund Projects
Processing documentation necessary for personnel expenses and project management under EU Structural Funds.
8. Registration of Self-Employed Individuals
Preparation and management of supplier-customer relationships with self-employed individuals.
9. Registration of Representatives of Suppliers and Customers
Maintaining a database of representatives or employees of suppliers and customers to ensure effective communication.
10. Exercising the Rights of Data Subjects
Processing requests from data subjects exercising their rights under the Regulation.
11. Contact Form
Processing personal data necessary for handling requests made via the contact form on our website.
12. User Account
Processing personal data for the creation and use of a user account on our website.
13. Internal Communication
Processing employees' personal data to ensure smooth business operations, including changes related to employment.
14. Management Agenda
Keeping records of the company, including contracts, permits, licenses, and management documents.
15. Outsourcing of Health and Safety (HSE)
Ensuring health and safety at work for external persons entering the premises of the controller.
16. Professional Practice
Keeping records of students or trainees participating in professional practice with AgeVolt.
17. Registration of Jobseekers
Maintaining a database of job applicants who have sent applications for employment voluntarily.
18. Contractual Relations
Preparation and management of contractual relationships, transfers of property, lease agreements, and other contracts.
19. Promotion of the Operator
Publishing photographs, video recordings, and information about employees and other data subjects for promotional purposes.
20. Magazine - Internal Newsletter
Informing employees and business partners about AgeVolt's activities through an internal newsletter.
21. Marketing
Processing personal data for providing information related to offers of goods and services, including sending commercial notifications.
22. Direct Marketing
Sending information related to offers of similar goods and services to existing clients.
23. Loyalty Programme
Maintaining a database of clients to provide discounts and benefits for loyal customers.
24. Participants in Competitions
Recording participants in competitions, handling registration, and communicating competition details.
25. Social Media Competitions
Organizing and evaluating competitions on AgeVolt's social network profiles.
26. Complaints
Handling complaints related to the accuracy and quality of goods and services provided by AgeVolt.
27. Provision of Documents to Public Authorities
Providing documents containing personal data to public authorities as required by law.
28. Emergencies
Recording personal data of individuals entering AgeVolt premises during emergency situations to ensure health protection.
29. Information and Communication Technology Administration
Managing user accounts, logins, and passwords for employees as part of internal IT administration.
30. Essential Cookies
Processing personal data of website visitors for the purpose of technical storage or access to ensure proper website operation.
31. Optional Cookies
Processing personal data through different types of cookies for functionality, analytics, and marketing purposes, based on user consent.
